Online PVG Applications: Things to review and remember

As this is a new process for all, VSDS are working with Disclosure Scotland to regularly review how things are progressing and make suggestions for improvements moving forward.

Below we have listed some key points for you to review and remember when submitting your Online PVG Applications:

Use a Word Document

Please use a Word document when submitting your Online PVG Application Request Form. This format is preferred as it provides us the most accuracy when inputting your information into the PVG Portal.

Signature Requirements

On your Online Application Request Form we do not need a written signature as such, a typed name is accepted.

Editing the Request Form

Please remove the ‘example of applicant details’ from the Online Application Request Form before submitting your applications.

Number of Applications

You must include the amount of applications on the request form and also clearly state in the subject heading how many applications are requested i.e. Online Applications X 2. It is X 1 request form per email and a maximum of X 10 applicants per form.

Checking Junk/Spam Folders

If an applicant hasn’t received their link please ask them to check their junk/spam folders and ensure the email address you provided was correct before requesting a new link. If you require a link to be resent please resubmit the Application Request Form for that applicant with the email subject heading: Resend Links X2, ensuring that the number at the end reflects the amount of applications on the request form. Please note that resending link requests must be sent separately from new requests.

Expired Links

If the applicants link expires, please resubmit an Application Request Form for that applicant with the email subject heading Expired Link x 2, ensuring that the number at the end reflects the amount of applications on the request form.  Please note that expired link requests must be sent separately from new requests.

Police Applications

Police Applications should continue to be submitted via the paper application process.

Certificates

Email certificates will now be issued in addition to paper certificates. Where there is conviction information email certificates will not be available and paper certificates will be issued only. Email certificates will only be sent to a lead person or collator.

Update/Progress Emails

Emails requesting further information on applications that are being processed at Disclosure Scotland will now only be sent to the lead person or collator.

Ensure Application Accuracy

All information on the application request must be completed fully and accurately. For example, Providing Full Names: If a middle name is missed but then added into the application link by the applicant, this will require a follow up from Disclosure Scotland with the applicant, and will ultimately delay the process.

Version control

We regularly review and update the online application request form on the website. Please ensure you are always using the most up to date version by downloading from the website each time you use the form. (Do not save copies).
